Terms and Conditions for Event Cover bookings
1. Scope
These terms apply to all first aid cover provided for events by the Oxford
University First Aid Unit (hereafter referred to as “OUFAU”).
2. Acceptance of bookings for event cover
(a) The organisers will provide OUFAU with such information as it may
require to perform an accurate assessment of the required first aid resources
and quotation of the fee for its services.
(b) The organisers will provide OUFAU with such facilities as it may require to
perform safe and effective first aid cover for the event.
(c) Final confirmation of the information and facilities required under clauses
2(a) and 2(b) is required at least fourteen days before the event is due to
start.
3. Charges for first aid services and payment
(a) Full payment must reach our office within 28 calendar days of issue of
our invoice or 14 days before the event is due to start – whichever is the
sooner.
(b) We reserve the right to apply a 10% surcharge in cases of overdue payment,
and this must be paid before the start of the event.
4. Cancellations and changes requested by the client
(a) If a cancellation / change in requirements is requested six weeks or
more before the start of an event then a 10% administrative fee will be levied.
(b) If a cancellation / change in requirements is requested between two and six
weeks before the start of an event then a 50% administrative fee will be levied.
(c) If a cancellation of event cover is requested two weeks or less before the
start of an event, then the full fee for event cover will be forfeit.
5. Cancellations by OUFAU
(a) OUFAU depends upon volunteers giving up their time freely to provide
event cover, and should it have insufficient resources to cover an event then it
will withdraw any offer of providing first aid services. Under such
circumstances, OUFAU will provide the event organiser with details of another
first aid organisation, a refund of any monies paid, and as much notice as
practicable.
(b) Event cover may be withdrawn if, in the opinion of OUFAU’s Duty Officer, the
organisers have not provided accurate information or the required facilities
under clauses 2(a) or 2(b), if the safety of our volunteers is compromised, or
if the actions or omissions of any official impact on the quality of patient
care.
(c) Where payment of the fee quoted or surcharge under clauses 3(a) or 3(b) is
overdue, OUFAU reserves the right to withdraw event cover at its discretion.
(d) Should a change in first aid requirements be requested under clause 4 then
OUFAU may withdraw event cover if it is unable to comply with the changes.
6. Variation of terms and conditions
These terms may only be varied in writing by an authorised officer of OUFAU.
